Consultations and records
It's morning, there are three patients in the waiting room, and an owner is on the phone asking about yesterday's results. On a day like that, veterinary medical records software has to keep track of everything on its own: who came in, what was done, what was prescribed and when the next visit is due.
In VetsWise, veterinary clinic software built together with veterinarians, every consultation goes into the patient's electronic record and is instantly visible to the whole team: vets, assistants and reception. The outpatient log meets the requirements of the BFSA (Bulgarian Food Safety Agency), and prescriptions and the veterinary medicines logs are filled in from the same data.
A new visit opens straight from the patient record, the schedule or the waiting list. The vet enters the diagnosis and clinical status, records the weight, and adds the procedures performed and the consumables used. The total is calculated instantly, including any line-item discounts.
Consumables are deducted from inventory automatically, using the batches closest to their expiry date first. Stock levels always match the real work in the consulting room, with no separate data entry at the end of the day.
When a patient comes on the recommendation of another clinic or vet, it's noted in the consultation. On the next visit the "Referred by" field is already filled in, and the patient list can be filtered by referring clinic, which makes reporting back to partners easy.
The record brings the patient's entire history together in tabs: visits, hospitalizations, sales, preventive care, referrals and prescriptions. The weight chart shows the trend as soon as it opens, and special notes, such as a drug allergy, sit next to the patient's name before the consultation even starts.
Photos, test results and documents can be attached to any visit. When the patient is referred to a colleague or the owner asks for a copy, the whole history prints as a single document.
The owner's phone number, email and address are on the same screen. Search works by name, phone number, microchip and email from any page, so a record turns up in seconds, even with a full waiting room.
Vaccines and parasite control products given during a consultation appear automatically in the Preventive care tab of the record, with the date and quantity. For vaccines, the batch number is recorded too and goes straight into the log of administered veterinary medicines. No separate notebook, and no digging through old consultations.
At every consultation you can set a date for the next visit and an SMS reminder from a ready-made template. The owner gets a message on time, fewer vaccinations are missed, and reception takes fewer calls asking "when was the last one?"
The prescription is created from the visit itself. The patient, owner and vet are already filled in, so all that's left is to choose the medicines, quantities and directions. A medicine the clinic doesn't sell can be added with just its name and quantity.
Every veterinary prescription is saved with the consultation and in the patient record, and prints with the clinic's logo and details. All issued prescriptions are also collected in one list that you can search by patient, owner, vet and medicine.
Every veterinary medicinal product given during a consultation goes into the log of administered medicines, with the date, batch number, the patient's name and species, and a link to the visit itself. Nothing is copied by hand.
Together with the log of medicines received, the temperature log and the disinfection log, it's ready for inspection at any time and exports with a single button.
Outpatient records are the hub the whole working day revolves around:
